Office manager (Receptionist)

Now, as we grow fast and smart, Avenga is looking for an Office Manager to join our team on a full-time basis. Our ideal candidate has exceptional oral and written communication skills and should be a people person who can provide the best services for our employees. We prefer candidates, who have experience in similar positions or in the field of hospitality.

Skills and requirements:

  • University degree,
  • English level — at least Intermediate,
  • Proficient computer user,
  • Experience in working with G Suite,
  • Basic knowledge and understanding of processes in outsourcing IT companies,
  • Good interpersonal and time management skills,
  • Attention to detail and problem-solving skills,
  • Excellent written and verbal communication skills.



  • Welcoming visitors and clients with the highest standards of hospitality,
  • Working with employees requests (acting on messages and other information inquiries or directing them to the relevant person, perform printing, scanning, etc. on employees’ requests),
  • Clerical work (receive incoming calls, maintain correspondence, coordinate delivery services, providers, and couriers),
  • Handling office services (Meeting rooms schedule assistance, other services e.g. massage, cosmetology, etc.),
  • Working with management requests (documents, booking lunch, etc.).

Documentation and employee records:

  • Personnel records maintenance and updating (Employee profiles, pictures),
  • Administering attendance/working time records (time-off and vacation),
  • Maintaining and updating employees’ documentation (passports, NDA’s).


  • Keeping office as neat and safe environment. Tight cooperation with cleaning, handymen, and security team,
  • Tracking office supplies and purchase when due (food, stationery, cleaning/kitchen supplies, first-aid kit, etc.),
  • Mobile services payments,
  • Cooperation with providers/vendors (Analysis of offers, negotiates prices/discounts),
  • Identification of possible office (and its operations) improvements (renovations, repairs, etc.),
  • Cooperation with branding team, package and delivery process of branded products,
  • Internal relocation/layout support.


  • Work and task reporting,
  • Daily/monthly planning, ordering, and reporting on office operational expenses,
  • Maintain detailed expenses report,
  • Other duties may be assigned.
